How we collect, use, share and protect personal information when you instruct us or use our website.

This privacy notice explains who we are, how and why we collect, store, use and share personal information, your rights in relation to that information, and how to contact us or the Information Commissioner if you have a complaint. Please read it carefully.

Aramm Legal Ltd is a limited company registered in England (company number 10026974). The registered office is Imperial Offices, 2A Heigham Road, East Ham, London E6 2JG. We are authorised and regulated by the Solicitors Regulation Authority under number 656549. Our website is https://arammlegal.com. When we collect, use and are responsible for personal information about you, we are also regulated under UK GDPR by the Information Commissioner and act as controller of that personal information.

Personal information we collect

The information we collect depends on the work you instruct us to undertake. It typically includes:

  • Name, address, date of birth, telephone number and email address, and National Insurance number where appropriate
  • Identity information and documentation
  • Additional information about your legal matter so we can advise you and progress your case
  • Information you submit through our website contact or newsletter forms

You are responsible for ensuring the accuracy of the personal data you supply. We will not be held liable for errors unless you have previously told us of a change.

How we use your information

We use your personal information primarily to provide a legal service in accordance with your instructions. We also use it for related purposes, including identity verification, file administration, updating existing records if you have instructed us before, analysis to help improve the management of the firm, statutory returns, and legal and regulatory compliance. Information may be held in hard copy and/or electronic format.

We will only take instructions from you or someone you authorise in writing. Where you act as an agent or trustee, you agree to tell your principal or the beneficiary that their personal information will be dealt with on these terms.

Lawful bases

We rely on one or more of the following lawful bases to collect and use personal data: your consent; contractual obligations; legal obligations; public task; and legitimate interests.

Who we share information with

If we work on your matter with other professionals advising you — including experts, barristers and banks — we will assume, unless you tell us otherwise, that we may share relevant personal data with them where it is appropriate and necessary.

We may ask trusted companies to provide typing, costing, photocopying or other support on our files. We obtain confidentiality agreements with outsourced providers. All routine typing, costing and photocopying is undertaken in-house. We use a secure computing system to process and protect your information. IT providers are subject to confidentiality agreements and must meet GDPR obligations. Personal information is kept in the UK; we will not transfer it outside the UK unless you specifically instruct us to do so.

There may be occasions when we are under a legal duty to share information with law enforcement or other authorities, including the Solicitors Regulation Authority or the Information Commissioner. If we are required to disclose information to the National Crime Agency, we may not be able to tell you that a disclosure has been made. We may have to stop working for you for a period of time and may not be able to tell you why.

Some files may be audited confidentially by external auditors to ensure we meet legal, quality and financial management standards. Information may be disclosed to our professional indemnity insurers and financial auditors if required. We may provide basic details of your case to legal directories on a strictly confidential basis unless you object. We will not share your personal information with any other third party for their own marketing, and we will not issue publicity about our work for you without your explicit consent.

How long we keep your data

We will hold your personal data and your file for a period of time depending on the nature of your case. We will confirm this at the end of your matter. After that period, papers including the electronic file will be destroyed confidentially unless we agree other arrangements with you.

To meet regulatory requirements we may retain basic information about you — including name, address and date of birth — on our electronic database for a longer period.

Marketing

Information about the firm and articles that may interest you are available on www.arammlegal.com.

We would like to keep in touch and tell you about information, events or developments that may be of specific interest. We will only send marketing by email where you have opted in. You may withdraw consent at any time. We may use third-party software to help send communications, under confidentiality agreements, and we will never disclose your information for others to use for their own marketing. If you are an existing client or we hold documents such as wills or deeds, we may rely on legitimate interests to contact you where it would benefit you or we need to update our terms.

Your rights

You are entitled to access your personal data. A request for access means you are entitled to a copy of the data we hold on you (such as name, address, contact details and date of birth), not necessarily the documents that contain that data. You may also have rights of rectification, erasure, restriction, objection (including to direct marketing) and, in some cases, data portability, as set out in UK GDPR.

To exercise these rights, email, call or write to our Data Protection Officer with enough information to identify you, proof of identity and address, and details of the information your request relates to. Security and complaints

We have appropriate security measures to prevent personal information being accidentally lost, used or accessed in an unauthorised way. Access is limited to those with a genuine business need. We have procedures to deal with any suspected data security breach and will notify you and any applicable regulator where we are legally required to do so.
